ECHS Band Boosters
Tuesday, March 11, 2008
The ECHS Band Boosters held a meeting on Tuesday, March 11, 2008, in the band room. President Ed Todd called the meeting to order at 7:00 p.m. The following board members were in attendance: Ed Todd, Mike Freeman, Denise Curtis, Terri Stille, Norma Todd, Diane Joyner, Debbie Snooks, Betsy DeQueljoe, Christy Collins, Mary Kay Schaffer, Theresa Reed, Todd Bennett, Cindy Baldwin and Barbara Silva along with Director Joseph Hasty and Kenza Murray.
Secretary
Copies of the minutes from the February 5, 2008 meeting were available for review. Denise Curtis made a motion to approve the minutes. Mike Freeman seconded and the motion carried.

Mike Freeman made a motion to accept the Treasurer’s report. Theresa Reed seconded and the motion carried.
Finance Committee
Mrs. Todd noted that the committee had not met recently but would in the next few weeks. The categories and percentages need to be evaluated. The Uniform Fund only has $5,000 in it for this year. We need to see if we can move some from other categories to put the $10,000 in the Uniform Fund. (Statement attached.)
Fundraising
Mr. Bennett said he was trying to come up with a fund raiser to help students pay for next year’s band fees. He was thinking about selling Boston butts. Everyone he has talked to says it is a good money maker. This fund raiser would include the rising 9th graders. He is also trying to get the sponsors of the seat cushions to donate money for a banner for the concession stand and to help off set the costs of Jazz Night.
Mr. Eddie Baldwin commented that he is still working on getting a lawn mower for us to raffle off. He is actually meeting with some people tomorrow about it. He will let Mr. Todd know how it goes.
Concessions
Mr. Todd mentioned that Mrs. Schaffer had gotten the concession stand cleaned up. The Dippin’ Dots freezer went out again. We lost 6 or 7 cases. They will cover all the loss this time. The last time this happened, they only covered half the cost of what we lost. We do not want Dippin’ Dots until June. They may not want to accommodate us this time. If they do not, we still have Italian Ice. We would like to continue both.
Mrs. Schaffer noted that there is a leak in the roof of the concession stand. It has been reported to Principal Ford. He was supposed to take care of it last year. Mr. Todd said he would mention it to him again.
The next event we will sell concessions at is graduation. We will buy enough drinks for graduation and the 4th of July, but will get The Coke Company to pick up any that are not sold. Mrs. DeQueljoe commented that we should sell more than Cokes and chips because people show up hungry. Maybe we could sell hot dogs or Chic-fil-a. Mr. Todd said it would be okay to turn on the grill but not the fryer. We will decide what to sell as these two events get closer.
Uniforms
Mrs. Joyner mentioned that the students should turn their uniforms in after the spring concert. They must be cleaned and turned in with the receipt in the dry cleaning bag.
Color Guard
Mrs. Reed noted that the Color Guard would need new uniforms for next year. The girls have already started looking at catalogues. She will keep us posted.

Publicity – nothing to report
Alumni
Mr. Todd commented that we need more parents to show up at the middle school parent meetings to encourage them to get involved with the Boosters. Mrs. Nancy Morgan suggested that some of the students wear their band uniforms to these meetings. This might make a big impression on the parents and the rising 9th graders. Mr. Todd thought that was a great idea.
Community Events – nothing to report.
Special Events
Mrs. Debbie Snooks gave an update on the plans for Jazz Night. Since we are going to Chicago, the theme is Chicago Nights & All That Jazz. The decorations will include skylines with the tall buildings of Chicago, mobster hats, guys in black pants & shirts with white suspenders and girls in flapper dresses. There will also be a red carpet to walk in on. Cindy Baldwin will be taking pictures and offering photo packages. Mrs. Snooks and Mrs. Reed are close to finalizing the menu. Mrs. Snooks is going to print the tickets herself. There will be posters and flyers to distribute. If you know of a business that might be willing to sell tickets, just let her know. Wendy Starling has agreed to handle the silent auction again, so we need donations for that. If you know a business she could contact for a donation, just let her know. Mrs. Reed maybe able to get free advertising on the radio station Kix 96. Mr. Hasty is going to write an article for The Effingham Herald. Mrs. Reed has volunteered to teach the students and any parents who are interested some basic swing dances. The classes are scheduled for April 2nd and 16th at 4:00 p.m. at the school. The Boosters will pay for pizza for the Jazz Band’s dinner. The cost of the tickets will be $15 each.
Mrs. Snooks also noted that the Band Banquet is just around the corner. The theme will be a luau – bring your own grass skirt. She hopes to get bar-be-cue from Carey Hilliard’s. She will go over the plans for the banquet at the parents’ meeting for the trip.
Fund Raising
Mr. Bennett said the drawing for the current raffle for the romantic weekend in Savannah would be held at the pre-festival concert February 12th. He has decided to postpone the Chili Cook Off until next year. We did not have enough time to get it well organized and feels that it would be better to wait until next year. Mr. Todd commented that we have done a lot of fund raising this year. He feels that it would be better to have three big fund raisers that are well organized rather than have one each month.
Nominating Committee
Betsy DeQueljoe said that Kristin Youmans and Charlie McDonald would be the nominees for Community Events and Kim Dudley for Uniforms. All others would remain the same.
Directors’ Report
Mr. Hasty reported that the concerts at the Festival at Armstrong were great. The Wind Ensemble received three superiors and one excellent. The Symphonic Band received all excellent. The Concert Band students worked really hard helping out with no problems.
Mr. Hasty also handed out the itinerary for the Chicago trip. It will be discussed in depth at the up coming parent/student meetings which are scheduled for March 31st and April 1st. The Chaperone’s meeting is scheduled for March 25th. A few items discussed were no lap tops or Xboxes will be allowed, portable DVD players, PSPs & hand held games will be allowed and while sleeping on the buses boys will be on one side and girls on the other side. The chaperones will be in charge of only one room.
Mrs. Curtis asked if there was going to be a parent meeting to discuss band camp and the hand book. If there is, we need to get it on the calendar. Mr. Hasty said instead of doing two meetings – one in April and another in August – we will cover both items at one meeting in August.
Mrs. Curtis asked if Mr. Hasty had received the criteria and deadline for the Hisey scholarship. He said he would have it after the Chicago trip.
Mr. Todd mentioned that the Tri M students were planning to build a wheelchair ramp for a lady in the community this Thursday. Anyone who wants to help just needs to show up.
Mrs. Murray asked for pictures from this year for the slide show at the banquet.
Mr. Lee Reed announced that the paperwork for the Booster’s tax exempt status was complete. We should have it within two weeks.
Mrs. Curtis mentioned that the next Booster meeting is scheduled for the night before we leave for Chicago. Since we will all be preparing to leave at 5:00 a.m. the next day, it was decided to move the meeting to the next week.
Mike Freeman made a motion to adjourn. Todd Bennett seconded and the motion carried. The meeting adjourned at 8:20 p.m. The next meeting was set for Tuesday, April 15, 2008 at 7:00 p.m.

Mrs. Curtis noted that the balances in the Scholarship, Instrument and Uniform Funds were a little different because they were showing the actual balances instead of the beginning balances. Terri Stille made a motion to accept the Treasurer’s report. Mike Freeman seconded and the motion carried.
Finance Committee
Mrs. Curtis reviewed the balances in each category. We voted last month to change the names and percentages of a couple of the categories. The only fund raiser left this year that would put money in these categories is Jazz Night. (Statement attached.)
Concessions

Publicity
Cindy Baldwin mentioned that some of the parents had trouble getting to the coupons for trip payments on the website. The problem has been corrected. If you need anything put on the website, just let her know.
Alumni – nothing to report.
Special Events
Debbie Snooks said since we were going to Chicago, she was thinking the theme for Jazz Night could be Chicago Nights & All That Jazz. The decorations could be the skyline with the tall buildings of Chicago. She and Theresa Reed are working on the menu. Wendy Starling has agreed to handle the silent auction again. If you know a business she could contact for a donation, just let her know. Another idea would be making a cake or cookies or brownies to be auctioned off. Mrs. Snooks said she was also thinking of asking Sharon Mason to take pictures of couples. We could set up a Chicago skyline scene as the background and show them on a slide show for everyone to see. Then people could see them before they purchase them. Cindy Baldwin said she would be happy to take the pictures. Mrs. Murray and Mr. Freeman have agreed to work out a plan ahead of time to keep the waiters organized.
Community Events – nothing to report.

Directors’ Report
Mr. Hasty noted that the Sadie Hawkins dance is this Saturday, February 9th, from 7:00 p.m. to 11:00 p.m. The students have sold tickets and he has made up the tickets/invitations. They have sold about 40 tickets. He has heard that more will be coming and paying at the door. We will need chaperones for the dance. He will pass out the invitations at school tomorrow. They will have to show the invitation and an ID at the door. Coach Ford said he could make a picture ID for anyone who needed one at no cost. Mrs. Reed said she had people to serve drinks. Mrs. Atkins will be making phone calls about making snacks for the dance. Coach Ford is to get four officers for the dance. Mrs. Reed said she had one officer already line up too. The dress code for the dance is nice church clothes, not prom clothes. Mrs. Reed said if you could help set up, be at the Savannah Station around 5:30 p.m.
The conversation then turned to the Chicago trip. Mr. Hasty has met with the travel agent. He is still finalizing things. He has not bought the tickets for the shows yet. Once he buys the tickets, if any one drops out, they will lose their money. The travel agent has come up with a suggestion for Wednesday night in Nashville. We should arrive in Nashville around 2:00-3:00 p.m. He is suggesting lunch at the Wild Horse Saloon with line dancing lessons and then maybe the mall. We will leave Nashville Thursday morning around 5:00 a.m. and attend the Chicago Symphony Thursday night at 8:00 p.m. Friday all bands will perform with a pizza dinner and a visit to the Navy Pier. Saturday will be a tour of the Sears Building, the Awards Banquet at a medieval dinner and the Blue Man Group that night. We will leave Chicago around 10:00 p.m. Saturday night and drive straight through so we will be home early Sunday morning. We may have to rent a truck for equipment if we have to take a lot. Mr. Hasty is to see how much equipment we need to bring. There will be mandatory parent/student meetings March 31st and April 1st. Mr. Hasty would like chaperones to be at both meetings so they can meet the parents of the students they will be in charge of. Parents will need to sign emergency release forms. They will have to be notarized since we are going out of the state. Mr. Hasty will go over the behavior expected from the students. He will also let the parents know that if a student does not adhere to the rules, they will be sent home on an airplane at the parent’s expense.
Mr. Hasty said the pre-festival concert is February 12th. There will be at least two judges maybe three. The festival at Armstrong is March 5th & 6th. The Wind Ensemble will play March 5th at 7:00 p.m. and the Symphonic Band will play March 6th at 2:30 p.m. Concert band students will go Wednesday to help Mr. Hasty and Wind Ensemble students will help out Thursday. Chaperones are needed.
The last item mentioned was the Indoor Drum Line lock-in. It is scheduled for February 22nd from 6:00 p.m. to 9:00 a.m. The location is has not been decided yet. Coach Ford has approved doing it at the school or at a local church. The purpose of the lock-in is to learn the drill. The girls in the Pit will not stay all night. They will leave around 10:00 p.m. We will need chaperones for this also.

Concessions
Mrs. Schaffer commented that we needed to clean up the concession stand before soccer season started. Anyone who is available, please join her this Saturday at 11:00 a.m.
Color Guard
Mr. Hasty noted that the Color Guard would be attending JanFest January 18th and that he needed female chaperones for the trip. He has rooms reserved already. Patty Adkins volunteered to drive the bus and chaperone. Mary Kay Schaffer and Theresa Reed also volunteered to chaperone.
Chaperones
Mrs. Collins noted that the next time chaperones would be needed was for the MLK parade on January 21st. There are enough chaperones signed up for this event already.
Publicity
Cindy Baldwin mentioned that the band now has a My Space. It is not private, which means it is open to everyone. Someone also commented that we needed to put Todd Bennett’s information on the website since he is doing fund raising now.
Alumni
Barbara Silva reported she had a list of everyone’s email address and would like everyone to verify that it is correct.
Special Events
Debbie Snooks said the next special events coming up are Jazz Night on April 26th and then the Band Banquet on May 16th. She does not have a caterer for Jazz Night yet. Once that is settled she will hit the ground running and will need lots of help.
The seniors have requested a Hawaiian luau for the banquet. Mrs. Snooks said she was willing to do the luau if the students would help.
Community Events
Betsy DeQueljoe had nothing to report. However, Eddie Baldwin announced that he would not be able to be in charge of the equipment at the Coastal Classic next year. He is willing to help and to let us use his equipment, but he can not be in charge due to growth in his business. He wanted to us plenty of time to find someone else. Everyone thanked him for his help the last few years and said that it would not be easy to find someone to fill his shoes.
Fund Raising
Mrs. Curtis said we have earned $6,236 towards the buses for the Chicago trip from the following events:

Theresa Reed said she had everything lined up for the next raffle. Mr. Hasty said that we needed to get the tickets printed. After a brief discussion, it was decided that the tickets would be sold for $2 each and that we would only have 2,000 tickets printed. Effingham Printing has not been charging us anything for printing the raffle tickets. Mr. Todd asked Mrs. Stille to send them a thank you note. The drawing will be at the pre-festival concert, February 12th.
Todd Bennett is now in charge of fund raising. He said the next fund raiser was selling Cokes starting next week through January 22nd. Any Coke product is available. If it is not on the list, write it in the “other” column. We will be selling a case of twenty-four 20 oz. drinks for $18. All profits will be credited to the student’s account. The orders must be turned in by January 22nd because the drinks will be delivered on January 23rd. Stress to the students, that if an order is turned in late, it will not be filled.
After the Coke sales, will be the Sadie Hawkins dance. Tickets will be sold from January 22nd through February 1st. Tickets will be $6 per person, $10 per couple or $15 per person at the door. The dance will be February 9th at Savannah Station. Mrs. Todd asked how we would know if a student who showed up at the door was from ECHS. Mr. Hasty said there would be a list at the door of every student at ECHS. He will also be putting the students’ names on the tickets that are sold early. The students will also have to show a picture ID to get in. Chaperones will be needed for the dance. Since the event will not be held at the school, Effingham County Sheriffs will be needed for security. Coach Ford has agreed to pay for the Sheriff’s Deputies.
The next fund raiser will be the Chili Cook-off on Saturday, February 23rd. It will be held at the school in the cafeteria from 5:00 p.m. to 8:00 p.m. It will cost $25 per person to enter, $50 for a civic organization and $100 for a regular business. 50% of entry fees that students bring in will go to their account. Ticket sales will go towards the buses. There will be entertainment during the cook off. Any group or band can perform, but they must be approved by Mr. Hasty. Performers will not have to pay to get in. Trophies will be given in various categories.
The final fund raising issue was whether the final raffle ticket sales were going toward the buses or to the students’ accounts. After a brief discussion, it was decided that the profits from the final raffle should go to the students’ accounts to help them make the last payment. So the Chili Cook-off will be the last chance for the Boosters to raise money for the buses.
Directors’ Report
Mr. Hasty reported that the Christmas parades and the Tour of Homes were all a success as well as the Christmas concert.
He also reported that 30 students auditioned for District Honor Band. Twenty-two high school students made it as well as 7 middle school students. Four students are auditioning for All State Band. Upcoming events are: Jan Fest at UGA -- 8 music students and 7 color guard students going, GMEA convention for Future Music Educators – 6 students going, MLK Parade on January 21st, pre-festival concert on February 12th and the festival at Armstrong State University on March 5th and 6th. The next Booster meeting will be moved to the 1st Tuesday in February because the pre-festival concert is on the 2nd Tuesday of February.
The last item of business was the nominating committee for next year’s officers. Mrs. DeQueljoe is heading up the committee with Mr. & Mrs. Todd, Patty Adkins, Wendy Starling and Renee Morgan. The committee will meet at the end of January to discuss the nominees.

Mrs. Curtis noted that the $10,000 certificate of deposit matured in August. It was rolled over into another 6 month certificate. It was also noted that $6,000 from the regular checking account that had been allocated to the Scholarship Fund was moved into the money market account. By moving the funds to the money market account, we increase the amount of money we are earning interest on. The current interest rate for the money market account is 4.50%. Chic-fil-a donated $400 towards the purchase of the show shirts for the students. Mrs. Curtis also announced that student statements were available for the marching students. The statement does not include any funds earned from the recent car wash.

Mrs. Curtis noted there were no changes to funds in the long-term categories. As we earn money from concessions, we will be able to add to these accounts. After the Coastal Empire Classic, we will have more money. These funds are used to run the band program. These funds do not include any band fees. Band fees only pay for band camp. Fundraising
Mr. Lee Reed thanked everyone who helped with the car wash. The next fund raiser is the Haunted House. The students really need to sell the room sponsorships. If the sponsorships pay for the cost of the rooms, then all funds earned from pre-sold tickets will go to the student.
Mr. Hasty commented that several people had contacted him about the pizza kits not having the meat in them. He has been in touch with the Southern Fundraising. They will send whatever is missing. Mrs. Curtis commented how helpful the Wind Ensemble students were in organizing the pizza kits when they arrived.
Concessions
Mrs. Mary Kay Schaffer said we have been asked to sell concessions for the Rec Department games again this year. She said we would not run a full menu – just hamburgers and hot dogs. The games are scheduled for Sept. 25th at 6:00 p.m., Sept. 29th at 9:30 a.m., Oct. 6th at 9:30 a.m., Oct. 30th at 6:00 p.m. and Nov. 3rd at 9:30 a.m. Mrs. Schaffer said that she and Mr. Schaffer would handle the concession stand on the two dates we have competitions. We are also selling concessions at the Junior Varsity games on Thursdays at 5:00 p.m. If you can help with that, just show up.
Mrs. Schaffer commented that the concession stand ran smoothly at the last game with short lines. We made approximately $4,000 even with the rain. Several people mentioned that the lines at the South Effingham concession stand were way too long and the servers did not wear gloves.
For Friday night games, all concession workers need to come in through the back gate. They will have a list of names at the back gate to let us in.
Uniforms
Mrs. Diane Joyner noted that she and Mrs. Sharon Mason had worked this week to get uniforms fitted. Everyone needs a uniform this week before pictures are taken Friday, September 14th. Everyone has been fitted except four students.
Color Guard
Mrs. Theresa Reed said had purchased hats for the show. She is looking for badges to pin on them so they will look like Keystone Cops. Christy Collins said she knew the Sheriff and would see if he could get us some plastic badges.
Mrs. Reed also noted that the Color Guard t-shirts would be in this Friday and the wind suits would be in soon but did not have a definite date on the suits yet.

Community Events
Mrs. Betsy DeQueljoe announced that she would be mailing out letters to parents this week about the Coastal Empire Classic. The letters will allow people to specify how long they can work, where they prefer to work and if they can make a donation to the hospitality room. Liz Allen has agreed to handle the hospitality room again this year. Mrs. DeQueljoe noted that we had enough 4-wheelers and golf carts, but may need a few tents.

Chaperones
Mrs. Christy Collins announced that she had 27 parents sign up to chaperone this week’s game to Greenbrier. We only need 20. A couple of the regulars stepped down so the new Freshman parents could go.
Director’s Report
Mr. Hasty said this week’s game was at Greenbrier. It is their homecoming, so we will not be performing at half time. Since we will only be performing in the stands, the uniform for the night will be the Rebel Regiment show shirt and khaki shorts or pants. Students will have half time off instead of the third quarter. The Greenbrier Boosters have offered a meal plan for our band so we can eat before we play. The food would be read at 7:00 p.m. and the cost would be $6 each. If your student prefers, you can provide them with a sandwich to eat on the bus.
September 21st is Alumni Night. It has been advertised in the Effingham Herald, Effingham Now and on the website. Only two people have called in. Mr. Hasty is hopeful that more people will call.
September 28th is Middle School Band Night. 6th, 7th and 8th grade students will play with the band on the field for the pre-game performance. We normally feed the middle school students pizza that night. The high school students are asked to pay $3 to off set the cost.
October 6th is the competition in Carrollton. A number of Seniors have made arrangements to take the SAT test in Carrollton and then meet us at the competition. This will be a day trip – a very long day trip – on school buses.
November 2nd is Homecoming and Senior Night. The Homecoming Dance has been scheduled for November 3rd, which is also a competition. Mrs. Reed said she had emailed Principal Ford to try to work out a compromise. The Seniors are upset because with Homecoming and Senior Night being the same night, they will not get to march at their final home game before graduating. Mr. Hasty said he was trying to work something out with Principal Ford.
The next item discussed was the trip to Chicago. Mr. Hasty announced that the cost per person, not including transportation, would be $489. For every 20 people that go, we get one free. We have enough people signed up so the Directors and Principal Ford will be able to go for free. This price includes 3 breakfast buffets, 3 dinners, an awards banquet, dinner at the Navy Pier, tickets to see the Blue Man Group, tickets to see the Chicago Symphony and an escorted tour of the city of Chicago. We will leave Wednesday, April 9th at approximately 8:00 a.m. We will spend Wednesday in Nashville, TN and Thursday and Friday in Chicago, IL, returning home Saturday. We have approximately 140 people eligible to go – 108 marchers, 20 Wind Ensemble students plus chaperones. We will need three charter buses, which will cost $20,000. $20,000 divided by 140 people adds $167 to the cost of each person’s trip for a total of $637. This price does not include gratuities for the bus drivers. We have set up four scheduled payments: Oct. 10th $175, Dec. 10th $160, Feb. 12th $160 and March 12th $150. If you make the first payment, but do not make the second payment, you lose your spot. If parents want to use credits in their student’s account, they must sign a form instructing us to do so. Mr. Hasty will send coupons home with the students this week. After a student’s trip has been completely paid, any money raised will go in their account for spending money. All three bands – Wind Ensemble, Jazz Band and Marching Band – will perform in Chicago.
Mike Freeman made a motion to adjourn. Betsy DeQueljoe seconded and the motion carried. The meeting adjourned at 8:10 p.m. The next meeting was set for Tuesday, October 9, 2007 at 7:00 p.m.
